Privacy Policy

This policy explains what personal information Responsii collects, why, who we share it with, and the choices you have. Responsii is operated by High Potential Group LLC (“Responsii”, “we”, “us”). It covers responsii.com, the free visibility check, and the Responsii service for subscribers and partners. Questions: hello@responsii.com.

1. The short version

  • We collect what you give us to run the service — your email, your business details, and what you write in the product — plus a small amount of technical information for security.
  • We send your business details to the AI engines we measure, because asking them about your business is the product. We do not sell personal information, and we do not use advertising trackers or analytics scripts.
  • AI answers we store can name other businesses. Section 5 explains how we handle that.
  • You can ask us to see, correct or delete your information at hello@responsii.com.

2. What we collect

Information you give us:

  • Account: your email address and password, and your business name. Your password passes through our server to our authentication provider, which stores it only in hashed form; we never store or log it.
  • Business profile: business name, website, category, specialty, city and state, and whether you serve customers nationally; alternate names; competitors you list; and for each location, its label, city, county, ZIP codes, and optionally a street address, phone number, page URL and profile links.
  • Free visibility check: your email address, the business details you enter (name, website, category, specialty, city, state), and your agreement to be contacted about your results, with the time you gave it.
  • Content you create in the product: brand-voice guidelines you paste, your answers in the brand-voice interview, the voice profile generated from them, answers to drafting questions, drafts, and which recommendations you mark done.
  • Billing: when you subscribe, Stripe collects your payment details and billing address directly. We receive your subscription status and a customer reference, never your full card number.
  • Partners: your contact email, which version of the partner terms you accepted and when, and the commission records described in the partner terms.
  • Agency clients: if an agency managed your account and stops, the agency gives us your email address so we can offer you the account. We use it only to send that offer and to check that the person claiming the account is you.
  • Messages you send us.

Information collected automatically:

  • IP address and browser user-agent when you run a free visibility check, and IP address when you sign up or request a password reset. We use these to enforce usage limits and prevent abuse. The free check is also protected by Cloudflare Turnstile, a bot check: Cloudflare collects signals from your browser and device on the form, and we send Cloudflare your IP address when we verify the result (see section 4). For sign-up and password-reset limits we store a one-way hash of your email address, not the address itself.
  • Where you came from: if the link that brought you to the free check carried campaign tags (utm_source, utm_medium, utm_campaign), we save them with your free check, and if a partner referred you, we save their referral code (see the rsp_ref cookie in section 7). We use these only to count which campaigns and partners bring people to us.
  • Cookies — see section 7.
  • Our hosting and error-monitoring providers keep standard server logs (such as IP address, pages requested, and errors) for security and to fix problems.

3. How we use it

  • To run the service: build and run your visibility audits, check your website, produce your reports, recommendations and drafts, and send you results.
  • To operate your account: sign-in, security, billing, and service emails (sign-up confirmation, password reset, audit complete or failed, and the free-check result).
  • To follow up on your free check: running the free check requires agreeing to be contacted about your results. After your result, we may send up to five short emails over about two weeks on what it means and how to improve it, and our founder may write to you personally about it.
  • To measure which campaigns and partners bring people to us, and to credit partners.
  • To prevent abuse of the free check and of sign-up, and to protect the service.
  • To run the partner program: credit referrals and calculate and pay commission.
  • To comply with law, and to enforce our Terms of Service.

We do not sell your personal information, share it for cross-context behavioral advertising, or use it to train AI models. The only marketing email we send is the follow-up about your free-check result described above, and only to people who agreed to it on the free-check form. It stays about your result: we do not add you to a newsletter or send unrelated promotions without asking separately. Every follow-up email carries an unsubscribe link and our postal address, and follow-ups stop when you unsubscribe or sign up. Free checks run before September 29, 2026 did not ask for this agreement, and those addresses get only their result.

4. Who we share it with

We use the following service providers. Each receives only what it needs to perform its service for us.

AI providers process questions and answers under their own business API terms, which state that data sent through their APIs is not used to train their models by default. We may also disclose information if the law requires it, to protect rights and safety, or as part of a merger, acquisition or sale of assets, in which case this policy continues to apply to it.

5. Information about other businesses in AI answers

Our audits ask AI engines questions a buyer might ask, such as “best HVAC company in Detroit”. The answers often name other businesses and can include their public details — names, addresses, phone numbers, websites and snippets of reviews. We store these answers as the record behind every number in a customer’s report, so the customer can see exactly what each engine said.

This is information the engines published in response to an ordinary question; we do not seek out individuals, and we do not combine it into profiles of people. If you believe an answer we stored contains your personal information and want it removed, email hello@responsii.com with the details and we will review it.

6. Checking your website

With each audit we fetch your homepage, your robots.txt file and each location page you give us, identifying ourselves as “ResponsiiSiteCheck/1.0 (+https://responsii.com)”. We fetch only the addresses you provide, and we keep a summary of what we found (for example, whether AI crawlers are allowed and which structured data is present), not the page content itself.

7. Cookies

We use only first-party cookies needed to run the service. There are no advertising or analytics cookies.

The free-check form also loads Cloudflare Turnstile in a frame served from challenges.cloudflare.com. We do not set any cookie for it; what Cloudflare collects inside that frame is described in section 4 and governed by Cloudflare's own privacy policy.

8. How long we keep it

  • Account and service data, including stored AI answers, is kept while your account exists, because it is the history your reports are built on.
  • When an account is deleted, its businesses, audits, stored answers, reports, drafts and voice profiles are deleted with it. We keep billing and tax records as long as the law requires, and records needed to resolve disputes or prevent fraud.
  • Free-check information, including your agreement to be contacted and any campaign tags or referral code, is kept until you ask us to delete it. If you later sign up, we link the free check to your account.
  • Abuse-prevention records (IP addresses and email hashes) are kept until deleted on request.
  • Server and error logs are kept for the periods set by our hosting and monitoring providers.

Account deletion is not yet self-service. Email hello@responsii.com from the address on your account and we will delete it within 30 days.

9. Your choices and rights

You can update your business details in the app. You can also ask us to tell you what personal information we hold about you, to give you a copy, to correct it, or to delete it, by emailing hello@responsii.com. We will verify the request comes from you and respond within 30 days, or sooner where the law requires. We will not treat you differently for making a request.

Depending on your state, you may have further rights under US state privacy laws, such as the California Consumer Privacy Act, including the right to appeal a decision we make about your request. We honor these requests from anyone, whatever their state.

To stop free-check follow-up emails, use the unsubscribe link in any of them, or email hello@responsii.com. Unsubscribing stops every follow-up to that address, including personal notes, and does not affect service emails about an account you hold.

10. Security

We encrypt data in transit, keep each customer’s data separate through database-level access rules, keep API keys and payment operations on our servers only, and hold only hashed passwords. No system is perfectly secure; if a breach affects your information, we will notify you as the law requires.

11. Where your data is processed

Responsii is operated from the United States and offered only to businesses located in the United States. Our database is hosted in the United States, and our other providers process data in the United States and elsewhere. By using Responsii you understand your information will be processed in these countries.

12. Children

Responsii is a business service for adults. It is not directed to children under 16, and we do not knowingly collect their personal information.

13. Changes and contact
